Getting your players to actually use the player portal

You've set up your workspace, invited the squad, and the player portal sits there half-used. Sound familiar? The portal is where CoachCraft stops being an admin tool for you and starts being a development tool for them. But only if players open it. Here's how to make that happen.

Start with the one thing players care about: their own data

Players don't log in to admire your session plans. They log in to see themselves. So before you push the portal at training, make sure there's something worth seeing: recent feedback, development notes, match availability, or clips tagged to them.

A practical rule: don't announce the portal until you've loaded at least one piece of individual content per player. A 16-year-old flanker who logs in and sees a note saying "great line speed in defence Saturday, this week we work on your ruck entry" will come back. One who sees an empty page won't, and you rarely get a second first impression.

Make physio booking the habit hook

The physio check-in workflow is the easiest way to build a login habit, because it solves a problem players already have: getting seen by the physio without hovering around the treatment room.

Set your physio's check-in slots for the same window each week, say Tuesday 6:00 to 6:45 before training. Then make the portal the only way to book. No WhatsApp messages to the physio, no grabbing them in the car park. It feels strict for a fortnight, then it becomes normal. Once players are logging in weekly to book or check a slot, everything else in the portal gets seen for free.

Same logic applies to SafeHouse bookings. If a player wants one-to-one time with a coach, the booking lives in the portal. Players learn quickly that the portal is where access to staff happens.

Lower the barrier to entry to almost nothing

Most "players won't use it" problems are actually onboarding problems. Three fixes:

Do the first login together. Take ten minutes at the end of one session, get phones out, hand out the 6-character workspace code, and walk everyone through signing in and connecting. You'll catch typos, forgotten passwords, and wrong-email issues on the spot instead of drip-fed over three weeks.

Give the code to parents too, for youth squads. If a 15-year-old loses the code, the parent has it.

Nominate a senior player as the portal champion. When the captain checks availability and books physio through the portal, the rest follow. Peer pressure beats coach pressure every time.

The payoff

A squad that lives in the portal gives you cleaner availability data, a physio who isn't chasing bookings, and players who read their feedback instead of forgetting it by Tuesday. That's less admin for you and faster development for them.
