Every club knows the scene: physio arrives 45 minutes before training, a line of players forms at the treatment table, and the coach finds out who is actually fit somewhere around the second drill. 1. Open slots, not a door
Only the physio can open slots. Coaches see the bookings, but the Check-In Slots screen lives in the physio portal and only the physio role can create or close a block. So this step is yours: open a block for the next session. Pick the day, the start time and the slot length. Two types exist: strapping (5 minutes) and treatment (10 minutes). Open more strapping slots than you think you need; they are the ones that get booked at 17:55.
A few habits that pay off:
- Open slots for the whole week on Sunday night. Players plan around what they can see.
- Put treatment slots first and strapping slots closest to kick-off. Nobody wants to be strapped an hour before they take the field.
- Leave one unbooked slot at the end as a buffer for the player who limps in late.
Each booking starts as pending. You accept or decline it from the same screen, so an unassessed knee does not automatically eat 10 minutes you had earmarked for someone else.
2. Let the players do the booking
Players connect with the same six-character workspace code the coaches use. Once they are in, the player portal shows the open slots for their team. They tap a slot, choose strapping or treatment, add the body area, and it lands in your list.
A player can also cancel their own slot. If the ankle feels fine on Tuesday morning they free it without messaging anyone, and the next player in can take it.
Booking confirmations and cancellations push straight to the player's phone. Slots stay quiet between 21:00 and 07:00 in the workspace's own timezone, so a late change does not wake anyone up.
3. Make the list work for the coach
The physio digest goes out at 07:30 on the day of the session: who is booked, for what, and which bookings are still pending. Accept the pending ones before you leave for the club and the coach can open the Team Calendar in the physio portal, or the availability view in their own portal, and see who is on the table at 18:00.
If three front rowers are being strapped from 18:00 to 18:15, the scrum work moves to the second block. The whiteboard changes once, not four times.
Keep notes in the booking itself, not in a group chat. The physio portal is the only place with write access to treatment records, so a note about a returning hamstring stays with the player and never appears in a coach's feed.
