Get More From Your Physio Portal: A Practical Guide for Coaches

Most teams set up their CoachCraft physio portal once and then treat it like a filing cabinet: players log issues, the physio deals with them, and coaches check in when something goes wrong. That's leaving a lot of value on the table.

Here's how to use the physio portal actively, not just reactively.

Set Up Check-In Slots Before the Week Starts

The physio check-in slot system works best when it's structured, not ad hoc. Have your physio set available slots at the start of each week, ideally Sunday or Monday morning, so players can book in before Tuesday training.

Why this matters: when players self-report through the portal, you get a cleaner pre-session picture than relying on "how's your ankle?" conversations on the training paddock. Coaches can see which players have booked physio time before a session, which helps you plan contact work without having to ask.

This is especially useful in the week before a game. A quick check of who's booked a slot on Thursday tells you more about squad availability than most verbal briefings.

Use Workspace Codes to Keep the Right People in the Loop

Every CoachCraft workspace runs on a 6-character workspace code that links coaches, physio, and players to the same team environment. If your physio isn't seeing player data properly, or players can't find their appointment history, the first thing to check is whether they're all on the same workspace code.

Go to your team portal, verify the code, and make sure everyone, including any assistant coaches or a strength and conditioning staff member, is using it. Access is role-specific, so physio staff see health data that players and coaches don't, but everyone needs to be under the same code for the system to work.

If you're running multiple squads (e.g. senior and U20s), they should each have their own workspace code. Don't cross-pollinate. It creates confusion in the player portal and clutters your physio's appointment view.

Read the Player Portal From the Athlete's Perspective

Spend five minutes logging in as a player. Seriously. The player portal is where your athletes see their own health data, book physio sessions, and access any SafeHouse bookings you've enabled. If players aren't using it, it's usually because they don't know it exists or found it confusing the first time.

A short walkthrough at the start of the season, either in person or via a quick video, dramatically increases engagement. When players book their own physio slots and check their own load data, your physio spends less time chasing them and more time doing actual treatment.

Start Using It This Week

Start this week: Pick one thing: set up your check-in slots, verify your workspace code, or walk through the player portal with your squad. The physio integration in CoachCraft is only as useful as the habit you build around it. Start small and it compounds.
