Most players won't walk up to you after training and say they're struggling. The gap between "something's wrong" and "the coach knows" is usually weeks. Setting it up
SafeHouse slots work the same way physio check-in slots do, so if you've already run those, this takes five minutes.
In the coach portal, open your availability and add SafeHouse slots. Keep them short, 15 minutes is enough for most first conversations, and put them somewhere that doesn't advertise itself. Twenty minutes before a session in a side room works better than a slot immediately after training, when everyone's watching who goes where.
Publish two or three slots a week rather than one. A single weekly slot gets booked by the first player who needs it and then looks full for six days, which reads to everyone else as "not available".
Players see the slots the moment they're published, as long as they're connected to your workspace with the same six-character code as the rest of the squad. If a player says they can't see any slots, check their workspace connection first. That's the cause about nine times in ten.
Running the conversation
The booking is the easy part. What you do with the fifteen minutes decides whether anyone books a second time.
Start by naming what it is: a private conversation, not a selection meeting. Players assume every interaction with a coach is being scored. Say out loud that it isn't.
Then shut up. Ask one open question, "how's the season going for you?", and let the silence do the work. Coaches are trained to fill gaps. Don't.
Keep notes out of the portal unless the player agrees to it. If something comes up that needs medical or safeguarding input, tell the player what you're going to do and who you're going to tell before you do it. Trust survives a referral you explained. It doesn't survive one they found out about later.
Watch the pattern, not just the booking
The useful signal isn't a single booking. It's who never books. Squad management gives you the full roster; SafeHouse gives you a list of who's reached out. Cross-reference those every month.
The player who's missing sessions, hasn't booked physio, and hasn't booked a SafeHouse slot is the one worth a direct approach. Not a summons. A two-minute chat at the end of training that ends with "there are slots on Thursday if you ever want one."
Start this week: If you haven't published SafeHouse slots yet, open your coach portal this week and put three on the calendar. Then tell the squad they exist, in person, not just in the portal. The feature only works once players know the door is there.
