Stop Sending Team Sheets on WhatsApp

Most clubs lose more time to matchday admin than to actual coaching. Availability chasing, a selection screenshot in the group chat, three players who never saw it. CoachCraft has a full path from availability to a published team sheet, and most coaches only use half of it.

Let the system chase availability, not you

Availability sits with the team manager portal, but the player answers it in their own portal. Create the fixture as an event and every player in the squad sees it on the Training tab calendar with a yes/no/maybe next to it. They can change their answer later without messaging anyone.

The part worth switching on is the reminder. A daily chaser goes out at 18:00 to anyone who has not responded, by push and email, and there is a manual Remind button in the team manager portal if you want to nudge earlier. It only chases players, never staff, so your physio and S&C are not getting pinged about a fixture they are not travelling to.

Two things to check before you rely on it. Players need a member record in the workspace, not just a row in Team Members. And the role on their profile must actually say Player, because signup role and squad role can drift apart. If someone is not getting chased, that is almost always why.

Selection in the Depth Shed, not a notepad

The Depth Shed is the drag-and-drop board: pitch positions, bench slots, your club kit colours, and a picker for the next match. Availability feeds straight into it, so an unavailable player is visible before you name him rather than after.

Selection is stored against the week, not against a specific fixture. If you are running two teams from the same squad, work team by team and keep the week in mind when you come back to it later. Full screen and fit-to-screen make it usable on a laptop in the clubhouse, which is where most selection actually happens.

Publish it and let it land

When the side is settled, publish the team sheet. That is the step people miss. Publishing does three things at once: the sheet appears on the Matchday Hub for that team, each selected player gets a card in their own portal showing where they are named, and a push notification goes out. No screenshot, no group chat, no player claiming he did not know.

Publishing is per team, so a club running 1st XV and 2nd XV gets two separate sheets rather than one confusing list. If you still want a copy in the chat, there is a share option that formats it properly.
